The Main Office Administrative Assistant to the Upper School reports to the Senior Administrative Assistant and works in a variety of areas related to the School's operations. The position provides administrative support to the faculty, staff, students and parents of the Upper School (US). The associate is responsible for managing an orderly and professional functioning of the US main office and providing support for in-house programming of the Director of Arts Education and Director of Jewish Life. As the first person who often communicates with students and parents, the Main Office Administrative Associate has a vital role in cultivating and maintaining positive relationships with all families, faculty and staff.
Essential Duties and Responsibilities:
●Screen and direct incoming calls from students, parents, faculty, staff and guests
●Manage student attendance and attendance reporting
●Manage daily schedules and bell system
●Manage the US room reservation system
●Support the in-house programming of the Director of Arts Education
●Support the in-house programming of the Director of Jewish Life
●Special projects and other duties as assigned.
Job Knowledge, Skills, and Abilities:
●College degree preferred
●Minimum of 5 years' experience with demonstrated success in an administrative support environment
●Excellent oral and written communication skills
●Outstanding organizational skills and ability to prioritize tasks
●Ability to exercise professional judgment and to maintain confidential information
●Strong capability to work efficiently in a fast-paced environment, both independently and as part of a team
●Proficiency in Outlook, Google Drive, MS Word, Excel, PowerPoint, and ability to quickly learn school databases
●Familiarity with PowerSchool, Concur and AsureSpace is desirable, but not required
