The Administrative Assistant (AA) to the Lower School reports to the Senior Administrative Assistant (SAA) and works in a variety of areas related to the School's operations. As a member of the LS Administrative Assistant Team, the position provides general administrative support to the faculty, staff, students and parents of the Lower School (LS). The AA serves primarily as a purchasing agent, facilitator of daily substitute coverage needs, and coordinator of the LS After-School Enrichment Program. Additionally, the AA submits content for the LS Weekly Email Update, participates in daily dismissal procedures, and provides front-desk support, as assigned.

Essential Duties and Responsibilities:

  • Substitute Coordinator
    • Under the direction of the Assistant Principal, assist in procuring daily substitute teacher coverage, creating substitute teacher schedules, and making advance phone inquiries for upcoming coverage needs
    • Monitor and track requests for sub coverage and any modifications in the substitute coverage spreadsheet
    • Assist in the recruitment and onboarding of substitutes
    • Facilitate the creation and maintenance of classroom substitute binders and notebooks
  • Purchasing Agent
    • Maintain stock supplies, fill supply requests, and make routine and pre-approved purchases, as needed
    • Support the LA/SS Coordinator in determining annual student supply lists
    • Purchase, inventory, organize, and distribute teacher supplies and materials during the summer in preparation for the upcoming school year
    • Accurately track and document all spending, including processing payments and reconciling purchases
  • After-School Enrichment Program
    • Work with Assistant Principal to develop the annual After-School Enrichment Program
    • Oversee enrollment in after-school activities
    • Communicate with parents and outside coaches and leaders on matters related to the After-School Enrichment Program
  • Other
    • Compile content for the LS Weekly Email Update
    • Develop annual LS Print Calendar in conjunction with LS Principal
    • Support Assistant Principal in the administration of annual ERB student assessments
    • Support LS LA/SS, Math, and Science/STEM Coordinators, as needed

Job Knowledge, Skills, and Abilities:

  • College degree preferred
  • Minimum of 5 years' experience with demonstrated success in an administrative support environment, preferably in an educational setting
  • Excellent oral and written communication skills, attention to detail, and ability to maintain and improve procedures and systems
  • Outstanding organizational skills and ability to prioritize tasks
  • Expertise with Google Suite (Docs, Sheets, Forms, Slides, Hangouts/Meet) and MS Office (Word, Excel, Outlook, Access, Publisher) with the ability to learn new technologies and applications quickly
  • Familiarity with PowerSchool, Finalsite, Concur, and AsureSpace desirable but not required
  • Ability to exercise professional judgment and maintain confidential information
  • Strong capability to take initiative and work efficiently and collaboratively in a fast-paced environment, both independently and as part of a team
